Project Overview

Client Overview The customer is a Canadian construction and design firm that struggled with inefficiencies in HR-related affairs and low employee engagement. The existing system lacked proper mechanisms for accessing HR records and managing employee data. As a result, the client sought an employee portal to streamline processes and foster a sense of community among employees.

Project Objective The primary goal was to develop an HR-centric employee portal leveraging SharePoint and React.js technologies. The solution aimed to improve employee collaboration with HR, enhance document storage and search efficiency, and provide a user-friendly interface to increase employee engagement.

Solution Scope The portal was designed to integrate key HR functionalities with social features, addressing business processes, employee information management, and social interactions. It was tailored to streamline HR operations while fostering a more collaborative and engaging workplace environment.

The Problem

The Client faced several critical challenges that were hindering overall growth and operational efficiency. These issues included outdated systems, inefficiencies in workflows, and a lack of integration between various functions. As a result, the business struggled to keep up with customer expectations and internal demands, leading to delays, errors, and missed opportunities.

Lack of Proper Employee Cooperation:

There was no proper cooperation among the employees regarding any HR-related issue. The way through which the different documents and essential information of HR were broken down made the communication and cooperation process highly inefficient.

The problems of group HR managing the details related to information of the employee, and retrieving particular documentation were connected with some systematic management concerning the content related to HR information.

The company had no system that helped employees have social interactions, hence affecting the morale and engagement of the employees. The company wished to involve employees more in both HR-related and social activities.

To resolve these challenges, a comprehensive solution was implemented that focused on modernizing systems, automating processes, and improving communication across teams. This approach streamlined operations, reduced inefficiencies, and enhanced the ability to meet customer needs. HR-Focused Portal in SharePoint

Our team developed a SharePoint-based employee portal that integrated HR features and social capabilities, providing the Client with an all-around approach to managing and engaging with employees.

Improvements for Home Page

This page has been designed so that anyone can instantly locate some pretty straightforward information about HR without having to view much: payroll data, recruitment data, an employee handbook and insurance forms.

Staff Directory

A staff directory was also included, where employees could look up colleagues by name, job title, manager, date of hire, and available time. Each employee's profile included skills, education, contact information, and a list of past.

Corporate Life Page

The corporate life page was supposed to help create community through the birthday and work anniversary boards, discount club section, and classifieds. Company holidays and the business events calendar also seemed to enable the interaction and involvement of employees outside of job activities.

The Result

The client gained a comprehensive employee portal fully operational to meet HR and social engagement requirements. Key outcomes included HR process simplification, where employees could easily access essential HR details, from pay and insurance to corporate policies and recruitment updates. The staff directory function helped employees search for colleagues based on filters like job title and hire date, promoting a more connected work environment. Employee collaboration improved as the portal organized HR documents and social features, fostering communication through integrated social media platforms. The corporate life page enhanced employee interaction with features like birthday and anniversary boards, company holidays, and event calendars, fostering a sense of community. As a result, user adoption increased due to the portal’s seamless integration of HR functionalities with social features, encouraging frequent use and strengthening the bond between employees and the company.
