Ready-to-Install HR Management Solution Powered by SharePoint
Empowering Small Enterprises with Seamless HR Management on SharePoint
A leading European consulting and software development company sought to expand its service offerings by introducing a ready-to-install HR management solution built atop Microsoft SharePoint. The goal was to meet the essential HR needs of small enterprises while integrating seamlessly with their existing document management systems.
eSparkBiz delivered a fully functional, highly customizable HR platform leveraging SharePoint Foundation 2010 — enabling organizations to automate HR workflows, centralize employee data, and streamline common tasks such as leave approvals, travel registrations, and asset tracking.
Designed with a nearly native SharePoint look-and-feel, the solution ensured easy user adoption while offering advanced flexibility for future customizations.
The Client aimed to develop a user-friendly HR management system tailored for small businesses, addressing key challenges such as limited affordable HR tools, the need for streamlined document management, and the automation of core workflows. They sought a solution that offered customizable features without heavy reliance on IT, while ensuring robust access controls to safeguard sensitive data, all within a familiar SharePoint environment.
As the Client planned to enhance their offerings with an HR management system tailored for small businesses, they faced a multifaceted set of challenges that required more than just basic SharePoint expertise:
While large organizations often had access to sophisticated HR platforms, smaller enterprises lacked affordable, easy-to-deploy solutions for managing employee data, approvals, and HR workflows. The Client needed a lightweight, cost-effective HR system that would meet essential HR needs without the complexity or overhead of enterprise-grade platforms.
Centralized document storage was a must. Managing employee-related documents, such as contracts, performance reviews, and travel records, within the HR system was critical for compliance, auditing, and internal organization. The platform had to leverage SharePoint's document libraries efficiently, while making them easily accessible within the HR workflows.
Manual handling of leave approvals, travel requests, time logging, and expense reporting was consuming excessive administrative effort. Without workflow automation, HR staff and managers were bogged down by repetitive tasks, reducing overall efficiency.
The solution needed to be customizable by business users, not just IT administrators. Employees and HR teams required the ability to create custom lists, modify views, and manage personal dashboards without involving developers or SharePoint experts, promoting autonomy and agility.
Standard SharePoint security models provided basic permission structures but lacked the flexibility needed for sensitive HR data management. A more sophisticated access model was essential — one that could enable fine-tuned, role-based access controls for different HR functions, ensuring that confidential employee information remained secure.
Crafting a Scalable, Integrated HR Management Platform Within the SharePoint Ecosystem.
We used SharePoint Foundation 2010 as the backbone of the solution, capitalizing on its robust document management, list creation, and permission management capabilities. This allowed us to create a system that was stable, scalable, and aligned with the Client’s existing SharePoint infrastructure.
To foster better user engagement, we designed a customizable homepage filled with interactive widgets. Employees could view company-wide calendars for absences and vacations, upcoming birthdays, and anniversaries — all from a central dashboard. Widgets could be easily added, removed, or rearranged based on individual user preferences.
Simplifying HR interactions was critical. We developed a registration widget allowing users to instantly create records for absences, vacations, business trips, time logs, and more with just a single click, streamlining the data entry process and reducing administrative overhead.
A visual organization chart gave users a comprehensive overview of the company’s structure. Employee listings could be searched, filtered by competencies, department, or location, and exported to Excel for offline analysis. This functionality supported better resource planning and workforce management.
Each employee’s profile was designed to store comprehensive information, including employment status, location, job role, skills, attached documents, event history, and more. This made it easy for HR teams to access complete personnel records in just a few clicks.
A Streamlined HR Management Experience Fully Embedded in SharePoint
Following deployment, the Client successfully expanded their product portfolio with a ready-to-install HR solution tailored for small businesses. End users benefited from a seamless HR management experience, tightly integrated into their existing SharePoint environments.
The solution brought immediate improvements in HR process automation, employee data management, and operational efficiency. With its modular design, the platform also paved the way for future enhancements and easy scalability to match evolving organizational needs.
