Project Overview

eSparkBiz developed a comprehensive Know Your Business (KYB) platform to simplify and automate business verification at scale. While KYB processes are critical for establishing trust and regulatory compliance, traditional approaches often rely on manual reviews, fragmented documentation, and time-intensive verification workflows. Organizations face ongoing challenges in validating business legitimacy, identifying beneficial owners, confirming authorized representatives, and maintaining accurate compliance records across growing partner and customer networks.

To address these challenges, eSparkBiz built a secure, end-to-end verification ecosystem that guides organizations through every stage of the KYB lifecycle from business onboarding and identity verification to beneficial ownership disclosure, biometric officer attestation, and compliance validation. The Problem

Business verification in most organizations was being held together with emails and spreadsheets. Compliance teams were doing their best with tools that were never really built for what they were trying to accomplish and the cracks showed.

Unverified Business Identity

The due diligence process for onboarding a business customer was mostly manual. Someone would request documents, someone else would review them, and a decision would get made, often without any real way to verify that what was submitted was accurate. For industries where this matters legally, that gap was a genuine liability.

Opaque Beneficial Ownership

Regulations require businesses to disclose who actually owns and controls them, not just the name on the letterhead. But capturing that accurately, especially when corporate shareholders have their own ownership structures, was a documentation exercise that most platforms simply weren't built to handle.

No Tamper-Proof Audit Trail

Even when a verification was completed, the record of it lived somewhere fallible an email thread, a shared folder, an internal system that could be edited. There was no tamper-proof way to prove that verification happened, when it happened, and who confirmed it. That becomes a real problem when an audit or dispute surfaces months later.

Broken Onboarding Coordination

Chasing down documents and signatures from a business customer's various officers and owners took weeks in some cases. There was no clear workflow, no visibility into where things stood, and no way to nudge the right person at the right time. A lot of verifications just stalled.

Unproven Signing Authority

When an officer signed off on something, the compliance team generally had to take their word that they had the authority to do so. There was no mechanism for actually verifying that an individual's claimed authority matched the organization's legal structure until that became something we had to build explicitly.

No Flexibility For Industry-Specific Compliance

Different industries and different relationships require different levels of verification. What was needed for a financial counterparty was completely different from what was needed for a logistics partner. A rigid, one-size-fits-all verification process either collected more than necessary or missed what actually mattered.

Our Methodology

Building a platform that handles legal identity, ownership disclosure, and biometric attestation demanded more than standard development practice. Every design and engineering decision had compliance implications so the approach had to be deliberate from day one.

Discover

We mapped the full KYB compliance landscape the regulatory requirements behind UBO disclosure, the workflows compliance teams were actually using, and where existing tools were creating risk or friction. We documented the behavior of each entity type and the authority structures that varied between them before scoping anything.

Define

We defined a modular verification architecture that could handle different entity types, configurable ownership thresholds, optional add-ons, and the distinct flows for new versus existing organizations on the platform. The scope covered the web dashboard, mobile app, Middesk integration, and on-chain record layer.

Design

We designed the full user journey for both sides of the verification the inviting organization configuring and sending the request, and the invited organization completing it. The UX had to feel clear and guided even when the underlying process was legally complex. Every screen decision was validated against the compliance requirements it had to satisfy.

Develop

The platform was built with a layered architecture: a web dashboard for organization management and verification configuration, a REST API layer connecting to Middesk and the on-chain record system, and the mobile app for QR-based login and biometric attestation. The backend handles parallel verification flows, Pactvera and VDT generation, and role-based task routing.

Validate

We ran the platform through the full verification flow end-to-end including edge cases like corporate shareholders without existing OVDT records, organizations with complex multi-tier ownership structures, and authority attestation conflicts. Compliance accuracy was treated as a hard requirement, not a nice-to-have.

The Solution

eSparkBiz built KYB as an end-to-end verification platform that turns a legally complex compliance process into a structured, auditable digital workflow. Here is how each major challenge was addressed:

Structured KYB Invitation & Onboarding Flow

The inviting organization can search for a business by Tax ID or send a manual invitation. The invited organization receives a guided onboarding experience completing organization details, accepting terms, going through Middesk verification, and claiming their organization account via QR-based login. The entire process is tracked in real time from the inviter's dashboard.

Full-Spectrum Beneficial Ownership Disclosure

Once an organization is onboarded, the UBO flow captures the complete ownership structure officers and their roles, individual and corporate shareholders, ownership percentages, and governing documents. Corporate shareholders without existing records trigger their own onboarding flow automatically, maintaining verification integrity across multi-tier ownership structures.

Biometric Authority Attestation Via Mobile App

Every critical step in the verification chain officer attestation, beneficial ownership confirmation, authority assignment is completed through the ID mobile app using face scan and biometric verification. This ensures that the person completing each task is physically present and verified, not just someone with access to an email address.

Configurable Verification With Add-Ons

The inviting organization configures the depth of verification required before sending the invitation. This includes setting the ownership threshold for beneficial owner disclosure, enabling add-ons like PEP checks, SSN verification, criminal background checks, bank account verification, and 501(c)(3) status checks independently for the business, its officers, and its beneficial owners.

On-Chain Audit Trail Via Pactvera & VDT

Every significant verification event generates a Pactvera record and a Verifiable Digital Token (VDT) that is stored on-chain. This includes organization creation, officer attestation, beneficial ownership disclosure, and authority verification. These records cannot be altered after the fact, giving all parties a tamper-proof compliance trail.

Role-Based Authority Management

After completing the UBO flow, the organization admin assigns roles and organizational authority to platform users. Each authority role must be assigned to at least one individual, and authorized officers complete attestation tasks to confirm their permissions. This ensures that every action taken on the platform can be traced back to a verified, authorized person.

Phase 1

Compliance Research & Flow Architecture

Before writing a line of code, we mapped the full legal and operational landscape for KYB compliance UBO regulations, entity-specific officer structures, ownership disclosure requirements, and the verification triggers that differ between corporations, LLCs, partnerships, trusts, and nonprofits. This research directly shaped the data architecture and flow logic.
Phase 2

Data Architecture & Entity Modelling

Designed a flexible data model that could represent every supported entity type and their distinct officer roles and authority structures. Built the Pactvera and VDT generation layer into the architecture from the start rather than as an afterthought since on-chain records needed to be produced at specific, predictable points in the flow.
Phase 3

Backend Engineering & API Development

Built the core backend handling concurrent KYB flows, invitation state management, Middesk integration for automated business verification, shareholder ownership validation, and role-based task routing. The system had to handle multiple organizations progressing through verification simultaneously without state bleed between them.
Phase 4

Web Dashboard Development

Built the organization-facing web dashboard covering the full KYB workflow customer listing and management, invitation configuration, verification progress tracking, UBO flow, officer management, shareholder management, and the roles and authority assignment interface. The UI had to surface complex compliance state clearly without overwhelming users.
Phase 5

Mobile App Development

Developed the mobile application for iOS and Android, which serves as the biometric verification layer across the entire platform. The app handles QR-based organization login, task notifications, face scan attestation, and the signing of Pactvera records. No step in the attestation chain can be completed without going through the mobile app.
Phase 6

Testing, Edge Cases & Compliance Validation

Tested every verification path thoroughly including the failure modes that matter most in compliance contexts: corporate shareholders without OVDT records, ownership totals exceeding 100%, authority role gaps, Middesk verification failures, and multi-tier corporate ownership chains. Every identified issue was resolved before handoff.

Pactvera records and Verifiable Digital Tokens are generated at every significant verification event and stored on-chain. These records cannot be modified after creation, giving organizations a compliance trail that will hold up to audit, dispute, or regulatory review.

Multi-Tier Ownership Verification

The platform handles corporate shareholders with their own verification requirements automatically. When a corporate shareholder does not yet exist on, the system triggers an onboarding flow for them ensuring that beneficial ownership disclosure is complete and accurate even through multiple ownership layers.
