Context

The situation before the platform

Why a sales organisation needed one ecosystem instead of a CRM, a spreadsheet and a commission tracker.

The business

An enterprise software business serving sales organisations — the managers who set goals and evaluate performance, and the distributed representatives who work leads, deals and customer relationships day to day.

The starting point

Sales teams relied on multiple disconnected tools to manage leads, track deals and monitor performance. The lack of integration created confusion, duplicated effort and no real-time view of the overall pipeline.

The trigger

Critical customer and sales history sat in spreadsheets and older CRM systems. Moving it into a new platform was complex and risked disrupting daily operations, while concerns about protecting revenue and customer data kept growing.

What they wanted

One centralised sales management ecosystem covering lead assignment through to performance evaluation — goal setting, tracking, incentives, collaboration and analytics in a single system that aligned representatives and managers around shared goals.

Constraints

Many CRM platforms were too complex, and low adoption followed · representatives working in fast-paced, mobile settings needed intuitive tools reachable from anywhere · workflows had to adapt to each organisation's process without customisation turning into complexity · the architecture had to absorb more users, larger datasets and higher transaction volumes as the business grew.

The engineering problem

Six gaps that shaped the build from day one

Not vague pain points — the specific tensions in replacing fragmented sales tooling with one system people would actually use, each paired with what we did about it.

0 1
Leads, deals and performance living in separate tools

Sales teams relied on multiple disconnected tools to manage leads, track deals and monitor performance. That lack of integration created confusion, duplicated effort and limited real-time visibility into the overall sales pipeline.

What we did

Centralised sales management: deal tracking, customer interactions, lead assignments, commissions and bonuses brought into one unified workspace so teams stay organised and aligned rather than reconciling systems.

0 2
Years of customer history stuck in spreadsheets

Many organisations stored critical customer and sales data in spreadsheets or outdated CRM systems. Migrating that history into a new platform was time-consuming and required careful validation to keep data accurate and the business running.

What we did

Flexible import capabilities that transfer historical sales and customer data from spreadsheets or legacy systems with minimal disruption, maintaining continuity while reducing the complexity of the move.

0 3
Customer and revenue data needed structural protection

Handling sensitive customer and revenue information created ongoing security concerns. Organisations required robust safeguards against unauthorised access, breaches and accidental data loss, while supporting compliance and maintaining customer trust.

What we did

Enterprise-grade protection built into the architecture — secure authentication, role-based access controls and reliable data storage mechanisms rather than safeguards added at the end.

0 4
A CRM nobody uses records nothing

Complex and rigid CRM systems discouraged sales teams from using them consistently. Representatives working in fast-paced, mobile environments needed tools that were intuitive, responsive and accessible from anywhere.

What we did

A clean interface designed for managers and representatives alike, with structured dashboards and easy-to-read reporting that cut the learning curve and support consistent daily use across devices.

0 5
Adapting to each sales process without adding complexity

Organisations needed a system that could match their own sales processes without sacrificing usability. Excessive customisation tends to introduce unnecessary complexity, making the balance between flexibility and a simple experience hard to hold.

What we did

A balanced customisation framework: workflows and reports can be tailored to specific business processes while simplicity and consistency are preserved, so flexibility does not become operational confusion.

0 6
More users, larger datasets, higher transaction volumes

As businesses grew, their platforms had to support more users, bigger datasets and heavier transaction volumes. Existing systems struggled to scale efficiently, producing performance bottlenecks and technical limits that held growth back.

A scalable architecture using optimised performance strategies, system replication, modular services and cloud infrastructure, so added users, data and transactions do not cost responsiveness.

Architecture

How it fits together

Simplified — the shape rather than every service.

0 1 Clients
React.js · TypeScript · SCSS · Kotlin · Android · Swift · iOS

A responsive React.js web application alongside native Android and iOS clients, so a representative can log an interaction from a phone and a manager can read the pipeline from a desktop without relearning the product.

0 2 Gateway
Node.js API layer · JWT authentication · Role-based access

One API surface handles authentication with JWT, role-based access for representatives, managers and administrators, and the API-driven integrations that keep data flowing in real time across the system.

0 3 Services
Lead management · Deal & activity tracking · Commissions & bonuses · Analytics & reporting · Collaboration

Each function is a modular service, so lead assignment, deal tracking, commission calculation, reporting and collaboration can be tuned or extended without destabilising the others.

0 4 Data & infra
MongoDB · AWS · Docker

MongoDB provides flexible data management for leads, deals and performance history, with Docker and AWS supporting secure deployment and headroom as users, datasets and transaction volumes grow.

Scalability was treated as an architectural requirement rather than a later optimisation: database tuning, system replication, modular services and infrastructure planning are what let the platform absorb more users and larger datasets without losing responsiveness.
Solutions

Six systems doing the actual work

Not a features list — the specific things we built behind every number above.

Centralised sales management

Deal tracking, customer interactions, lead assignments, commissions and bonuses are all reachable in one workspace, reducing confusion and keeping teams aligned.

Real-time performance analytics

Interactive dashboards give instant visibility into sales activity, individual performance and revenue outcomes, so decisions rest on current numbers.

Smart lead assignment

Automated lead distribution routes each lead to the right representative quickly, cutting manual effort, accelerating follow-ups and creating more chances to convert.

Collaborative sales environment

Built-in chat, notifications and shared dashboards keep managers and representatives connected, improving communication and coordination across locations.

Customisable reporting & forecasting

Flexible reporting tools adapt to specific business requirements, letting leadership identify trends, forecast performance and spot growth opportunities.

Legacy data migration

Flexible imports bring historical sales and customer records across from spreadsheets and older CRM systems, preserving continuity without halting operations.

Because assignment, tracking, commissions and reporting resolve against the same services, a manager setting a goal, watching progress against it and paying the incentive it earns are three steps in one dashboard rather than three separate systems.

Security

What protects the platform and its data

The platform holds sensitive customer records, deal values and commission data — so protection was designed in, not bolted on.

Secure authentication

JWT-based authentication governs every session, so access to customer and revenue information is established at the gateway rather than assumed inside the application.

Role-based access controls

Representatives, managers and administrators each reach only what their role requires, limiting unauthorised access to pipeline, commission and customer records.

Reliable data storage

Storage mechanisms and database optimisation protect against accidental data loss while keeping reporting queries fast as historical volumes build up.

Infrastructure reliability

System replication, containerised deployment and infrastructure planning keep the platform available and performing as workloads and user counts increase.

Process

How we got there

Five stages, starting with how wind projects are actually run rather than a feature list.

0 1
Discover

Analysed day-to-day sales workflows, gathered stakeholder feedback and identified operational gaps across lead management, reporting and team collaboration.

0 2
Define

Set clear objectives around automating repetitive tasks, improving performance tracking, strengthening data security and creating a CRM architecture able to carry growth.

0 3
Design

Created intuitive UI/UX workflows, structured dashboards and readable reporting interfaces to minimise the learning curve and help teams adopt the platform quickly.

0 4
Develop

Built a custom CRM ecosystem uniting lead management, analytics dashboards, communication tools and performance tracking in a single architecture.

0 5
Validate

Ran performance testing, usability validation and security assessments so the platform stayed reliable, secure and able to scale with evolving requirements.
